Duties and Responsibilities:

  • The Accounting Assistant supports the accounts payable and billing processes by providing the necessary documentation and information to the accounts payable and billing teams. It is an excellent entry-level position; we will provide the training.
  • Assist with preparation of various financial reports and statements on a monthly, quarterly, and/or annual basis, depending on the Firm’s needs.
  • Participate in the Month-End close process to include, but not limited to, financial system reconciliation, data verification and distribution of various monthly and quarterly reports.
  • Processing and reconciling of Patent and Trademark Office (PTO) charges.
  • Processing and payments of debit notes from Foreign Associates.
  • Processing and reconciling of Online Legal Research charges.
  • Assisting with other ad hoc data entry, balancing, and reconciliation projects.
  • Research and retrieve necessary support documents for billing and e-billing team for invoice processing.
  • Correspond with accounting and legal staff.
  • Other duties and responsibilities as assigned.
  • Flexible to work overtime on an as-needed basis.

REQUIREMENTS:

  • Bachelor’s degree preferred.
  • Strong knowledge of basic software programs such as the Microsoft Office suite.
  • Knowledge of Excel Queries, Pivot tables, VLookups.
  • Knowledge of Elite 3E, and Chrome River is preferred.
  • Strong ability to meet project requirements and deadlines and to manage multiple projects simultaneously.
  • Excellent oral and written communication skills.
  • Good organizational skills and ability to prioritize tasks.
  • Ability to effectively and efficiently process high volume of work load
  • Advanced interpersonal skills; professional and customer-service oriented demeanor.
  • Ability to work alone with minimal supervision, as well as in a team setting.
