Accounts Payable Specialist

· Maintain AP email inbox, route invoices to appropriate approver(s), and follow through on each to ensure timely and accurate completion.
· Respond to invoice/payment inquiries from internal and external stakeholders.
· Enter approved invoices in the ERP timely and accurately, ensuring appropriate G/L coding, due date, documentation, and approvals in accordance with the company’s policies.
· Monitor, record and reconcile company’s credit card transactions.
· Maintain vendor records in the ERP, setting up new accounts (credit terms, category, etc.). Maintain up to date W?9 forms, identifying 1099 vendors and updating them in the ERP.
· Support management by preparing and distributing weekly financial reports.
· Closely collaborate with the purchasing department and other departments to ensure compliance with the company’s purchasing policy.
· Monitor special priority vendors as needed.
· Assist with the preparation and filing of annual compliance requirements such as 1099.
· Provide coverage for other members of the Accounting Team.
· Support the Accounting Department by completing administrative tasks, filing as needed.
· Assist with internal and external audits as needed.

Qualifications
· Associate Degree and 2-3 years of solid experience in Accounts Payable/Accounts Receivable role or an equivalent combination of education and experience to sufficiently perform the essential functions of the job
· Familiarity with accounting principles a must
· Experience with all accounting functions (AR, AP, GL) a definite plus
· Strong computer knowledge in Outlook, MS Word and Excel
· Strong experience using an ECI Macola and/or Intacct software system or other computerized accounting package
· Ability to work cohesively with fellow employees and management
· Ability to work in a team environment and, also on your own
· Excellent oral/written communication skills
· Detail oriented and the ability to maintain a high level of accuracy
· Ability to consistently meet all deadlines and multi-task in a fast-paced environment
· Demonstrated ability to drive efficiency and performance
· Strong analytical, problem solving and reconciliation skills
