Position Summary
We are seeking a detail-oriented and reliable Accounts Payable (AP)/Payroll Specialist to join our finance team. This role is responsible for managing the full-cycle accounts payable process and overseeing payroll processing. The ideal candidate will have hands-on experience with ADP payroll systems and a strong understanding of NetSuite (preferred) or other ERP systems. This position plays a key role in maintaining accurate financial records and ensuring employees are paid accurately and on time.
Key Responsibilities
Payroll (50%)
- Process bi-weekly or semi-monthly payroll through ADP, including regular, bonus, and off-cycle runs.
- Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Maintain accurate employee payroll records, including benefit deductions, PTO, and tax withholdings.
- Reconcile payroll data and resolve discrepancies or employee inquiries.
- Collaborate with HR for onboarding/offboarding, benefits updates, and employee changes.
Accounts Payable (50%)
- Perform full-cycle AP including invoice review, coding, matching, and processing for payment.
- Manage vendor records and ensure timely payments via ACH, wire, or checks.
- Reconcile AP sub-ledger to the general ledger and maintain monthly AP aging reports.
- Assist with month-end closing activities including accruals and account reconciliations.
- Respond to vendor inquiries and resolve discrepancies efficiently.
Qualifications
- 2+ years of experience in accounts payable and payroll functions.
- Strong proficiency with ADP Workforce Now or similar payroll software.
- Experience with NetSuite (preferred) or other ERP systems.
- Strong understanding of accounting principles and payroll regulations.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality and handle sensitive information.
- Proficient in Microsoft Excel and Office Suite.
Preferred Skills
- Experience in a multi-state payroll environment.
- Knowledge of payroll tax filings and year-end processes (W-2, 1099).
- Familiarity with benefit deductions and 401(k) administration.
- Experience working in a fast-paced, high-volume environment.
Education
- Associate or Bachelor’s degree in Accounting, Finance, or related field (preferred).
- Payroll certification (FPC/CPP) is a plus.
