Executive Assistant

The Executive Assistant position is a dynamic role that provides primary support to both the CFO and the President, along with general office management responsibilities.

RESPONSIBILITIES

  • Managing calendars, scheduling meetings, and coordinating travel arrangements
  • Handling expense reports and assisting with special projects
  • Organizing corporate outings and offsite meetings
  • Overseeing office operations, including supplies, vendor relationships, and maintaining office spaces (lobby, kitchen, conference rooms)
  • Collaborating with the President and CFO on building and maintaining a strong company culture ensuring a positive and engaging work environment for employees
  • Acting as the primary liaison with external vendors, including legal and IT support
  • Maintaining corporate records, handling mail distribution, and organizing documents
  • Conducting online research on clients, vendors, and business interests
  • Handling routine correspondence and supporting business operations as needed

REQUIREMENTS

  • Bachelor’s degree in Business Administration or related field preferred.
  • At least four years of related experience required.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment,
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
