HR Administrator – Massachusetts – $65K range
We are hiring for an HR Administrator to join our team. We are located on the North Shore area, offering you the unique opportunity to drive strategic people initiatives for a growing organization while enjoying the quality of life the North Shore provides.
Key Responsibilities:
Talent Acquisition & Onboarding
- Manage the full recruitment lifecycle: Handle job postings, screen resumes, complete preliminary interviews, schedule formal interviews, and relay feedback to hiring managers and/or agencies.
- Sourcing: Lead the sourcing of top-caliber candidates using various methods (e.g., networking, referrals, social media, job fairs, technical groups).
- Reporting: Maintain the Requisition Report and track internal staffing requisitions and key recruiting metrics (e.g., time to fill, cost per hire).
- Onboarding: Facilitate the new hire process by notifying relevant teams, collecting and completing necessary paperwork, and maintaining the onboarding portal.
- Ensure all branding guidelines and recruitment processes are consistently followed.
Payroll & Benefits Administration
- Payroll: Work with the payroll provider to ensure weekly payroll is entered, reviewed for accuracy, and submitted timely to accounting, assisting with discrepancy resolution.
- Benefits: Administer all US employee benefits (medical, dental, vision, life, FSA, etc.), communicating directly with the benefits broker and carriers.
- Open Enrollment: Facilitate the annual benefits open enrollment process, including employee communications.
- 401k: Assist with 401k administration and audit inquiries.
- Leave Management: Administer various leave programs (FMLA, STD, LTD, PFML) and maintain timely, accurate records.
- Inquiries & Claims: Respond to unemployment and employment verification inquiries and claims.
- Reporting: Provide benefits reporting to the parent company.
HRIS & Data Management
- System Onboarding: Onboard employees into HR systems, including payroll (ADP), talent management/HRIS (Oracle PeopleSystems/PS@HOYA), and benefits platforms.
- Data Integrity: Assist with maintaining data integrity on ADP Workforce Now and Oracle PeopleSystems (PS@HOYA) and run required reports.
- Record Keeping: Maintain employee personnel files, including I-9 files.
- Compliance: Research and resolve individual state tax and unemployment notifications.
General HR Support & Projects
- Inquiries: Monitor the HR Department inbox, prioritizing, referring, or responding to applicant and employee inquiries.
- Orientation: Provide backup support for new employee orientation meetings.
- Special Projects: Complete projects and special assignments by establishing objectives, managing time, monitoring progress, problem-solving, and making necessary adjustments.
? Desired Qualifications
Education & Experience
- Bachelor’s degree in Business or a related field (Desired).
- At least three (3) years of relevant experience.
- Experience working within an office environment is required.
Skills & Knowledge
- Experience maintaining data in IT systems is required; experience with HRIS systems (e.g., ADP, Oracle) is preferred.
- Proficiency with MS Office, including Outlook.
- Basic knowledge of State and Federal employment laws and the ability to interpret policies and procedures.
- Exceptional organizational skills and attention to detail.
- Demonstrated effective communication and interpersonal skills and an ability to build relationships.
- Ability to maintain confidentiality in highly sensitive situations.
