About the Role
We are seeking a highly organized and efficient Office & Travel Coordinator to be the essential hub for our daily operations. This role focuses on ensuring our team is well-supported, our office runs smoothly, and all travel logistics are managed seamlessly and cost-effectively.
Key Responsibilities

Office Management & Administration

  • Office Operations: Oversee the day-to-day running of the office, maintaining a clean, welcoming, and productive work environment.
  • Supply Management: Proactively manage inventory, ordering, and stocking of all office supplies, kitchen essentials, and equipment.
  • Visitor & Communication Hub: Act as the first point of contact for all visitors, phone calls, and incoming mail/deliveries, ensuring professional reception.
  • Administrative Support: Assist with general administrative tasks, including organizing documents, managing filing systems, and coordinating internal communications.

Travel Coordination & Logistics

  • Booking: Handle all aspects of domestic and international travel bookings, including flights, hotels, car rentals, and ground transportation for team members and executives.
  • Itinerary Management: Create clear, detailed travel itineraries and manage complex schedules, often coordinating multiple travelers simultaneously.
  • Expense Processing: Process and track travel-related expense reports accurately and efficiently.
  • Issue Resolution: Be available to troubleshoot and quickly resolve urgent travel issues that may arise, occasionally requiring attention outside of standard business hours.

Qualifications

  • Proven experience in a similar administrative, office management, or travel coordination role.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or Google Workspace.
  • Experience with corporate travel booking platforms (e.g., Concur) is a plus.
  • Strong written and verbal communication skills.
