Mechanical / HVAC Estimator

We are looking for an experienced Mechanical Estimator to support commercial HVAC construction projects. This role will focus primarily on mechanical systems including HVAC equipment, ductwork, piping, and related infrastructure. The estimator will be responsible for reviewing project documents, preparing accurate cost estimates, coordinating with vendors and subcontractors, and helping ensure projects are set up for success before construction begins.

This is a great opportunity for someone with mechanical estimating experience who enjoys working closely with project teams and contributing to the early stages of commercial construction projects.

Responsibilities

• Review project plans, specifications, and drawings to understand HVAC and mechanical system scope.
• Prepare detailed estimates for HVAC systems including ductwork, mechanical equipment, piping, and associated materials.
• Perform material and labor takeoffs using estimating software such as FastDuct, FastPipe, or similar tools.
• Solicit and evaluate pricing from HVAC equipment vendors, suppliers, and subcontractors.
• Attend site walkthroughs and pre-bid meetings when necessary to better understand project requirements.
• Communicate with engineers, contractors, and internal teams to clarify scope and resolve questions during the bidding process.
• Work with Project Managers during turnover meetings to ensure a smooth transition from estimating to project execution.
• Review vendor and subcontractor proposals to ensure alignment with project specifications.
• Identify potential cost savings or value engineering opportunities when appropriate.
• Build and maintain strong working relationships with vendors, subcontractors, and customers.

Requirements

• 5+ years of estimating experience in commercial mechanical or HVAC construction.
• Strong understanding of HVAC systems, ductwork, mechanical equipment, and related construction practices.
• Experience using estimating software such as FastPIPE FastDuct, or similar.
• Ability to read and interpret mechanical drawings and construction documents.
• Strong organizational skills with the ability to manage multiple bids at once.
• Comfortable communicating with vendors, subcontractors, and internal project teams.
• Proficiency with Microsoft Office, particularly Excel.

Preferred but not required
– Bachelors Degree 

Key Responsibilities:

  • Build and maintain strong relationships with customers, vendors, and internal teams through effective communication and support, earning customer trust and identifying bidding opportunities.
  • Thoroughly review customer proposals to understand project scope and ensure accurate execution, including interpreting blueprints, drawings, and specifications.
  • Clearly communicate questions or concerns to customers regarding proposals to ensure clarity and assess potential risks.
  • Attend bid walkthroughs and proposal meetings to stay informed about project details.
  • Collaborate with Project Managers (PMs) to transfer labor, equipment, and material requirements during turnover meetings.
  • Utilize software tools (FastPipe, FastDuct) to determine material takeoffs for projects.
  • Identify and engage the appropriate vendors and subcontractors to bid on projects, ensuring competitive bidding.
  • Review vendor and subcontractor drawings/submittals to ensure alignment with project specifications.

Experience:

  • At least 5 years of experience in commercial estimating, with a preference for experience in the HVAC, Plumbing, or Refrigeration industries.
  • Proficient with FastPipe, FastDuct, and/or other relevant software tools.

Skills and Abilities:

  • Exceptional verbal and written communication skills.
  • Proficient in Microsoft Office Suite, with advanced skills in Excel.
  • Strong critical thinking and problem-solving abilities, with a keen attention to detail.
  • Excellent organizational and negotiation skills.

Education and Qualifications:

  • A Bachelor’s Degree in Business or Mechanical Engineering is a plus.
