Hiring for a Bilingual Clinical Coordinator for a healthcare clinic in Lawrence, MA

MUST be bilingual Spanish/English
This is a long-term temporary role covering a leave of abcense until March
Schedule: Monday through Friday 8am-4:30pm/9am-5:30pm
Pay: $23/hr

Position Summary:
Provides administrative, organizational and clerical support to the Nurse/Practice Manager and Medical Site Director to ensure optimal lines of communication, and promote/implement effective management of various programs and areas of responsibility.

Job Responsibilities and Performance Standards:

  • Conducts administrative and clerical tasks in a manner that facilitates effective inter/intra-departmental business.
  • Organizes, administers and implements assigned departmental projects with a minimum of supervision.
  • Composes types, transcribes and proofreads correspondence, reports, with no more than one error per document accuracy (average) in a neat and timely manner as assigned.
  • Serves as communication liaison between Nurse/Practice Manager, Medical Site Director, providers, nursing staff, patients, community representatives, etc. as requested.
  • Records and transcribes minutes of assigned meetings, then distributes minutes within established time frame with no more than one error per document; accuracy as reviewed or noted by meeting attendees.
  • Schedules and arranges conferences, interviews, evaluations and meetings (sends meeting notices, schedules appropriate meeting facility, arranges for refreshments/food if necessary, etc.).
  • Accurately maintains Nurse/Practice Manager and Medical Site Director’s schedule on a daily basis and informs him/her of non-routine meetings in a timely manner.
  • Establishes and maintains an organized filing system to facilitate retrieval of information.
  • Answers phone within three rings in a courteous manner, identifying self and department and records/distributes messages in a timely and accurate manner (including name of caller, message, caller’s phone number, date and time of call). 95% of the time as observed or noted by feedback.
  • Opens, reviews and distributes incoming mail to appropriate persons within the same day 90-95% of the time. Also coordinates all outgoing mail.
  • Makes travel arrangements (meeting registration, transportation, accommodations) as requested.
  • Facilitates and maintains records for all nursing/medical staff’s credentialing and licensing. Serves as contact for credentialing issues.
  • Creates and maintains all clinician templates/schedules on a monthly basis
  • Maintains and distributes database of information pertaining to the medical staff (i.e. CME, CEU listing, pager listing, staff updates, address/phone numbers).
  • Orders office supplies/equipment and maintains small stock items.
  • Maintains accurate purchase order book and forwards signed copies to fiscal for posting to proper accounts. Forwards copies of all invoices, signed check requests and bills to fiscal office for prompt payment of accounts.
  • Serves as a resource to other Health Center departments and/or outside agencies.
  • Translates materials and interprets Spanish as required.
  • Performs special projects and produces routine and non-routine reports by appropriate target date with minimal supervision.
  • Assists Nurse/Practice Manager in the recruitment of staff.
  • Sets up interviews with appropriate staff.
  • Conducts tours and entertains applicant between interviews.
  • Serves as a liaison for applicant questions/issues.
  • Works with the Nurse/Practice Manager and providers to ensure proper and accurate patient scheduling.
  • Has thorough knowledge of Word, Excel, Vision, and PowerPoint. Serves as the local support person for providers and staff. Actively works to upgrade skills of providers and staff.
  • Works with the Nurse/Practice Manager to ensure accurate medical coding. Reviews nursing encounters daily to ensure coding is done.
  • Works with the Nurse/Practice Manager to ensure proper documentation for billing purposes.
  • Works with the Nurse/Practice Manager and the Patient Service Supervisor to ensure proper referral follow-up.

Qualifications:

  • Bilingual, English/Spanish
  • High School Diploma/GED
  • Minimum 3 years secretarial experience, preferably in a healthcare setting. Clinical knowledge or experience a plus!
  • Working knowledge of applications such as Word, Excel, and PowerPoint.
