Job Summary
The Construction Project Administrator collaborates with the Divisional Project Management and
Operations Teams to ensure adherence to Corporate standards across all projects. This entails
meticulous documentation and adherence to established processes. Additionally, the Administrator
closely collaborates with the Finance Department to facilitate vendor payments, monitor lien releases,
process foreign currency payments, and effectively manage collections for designated projects and
clients.
Qualifications, Skills & Abilities
• Construction background.
• Knowledge of Billing Portals.
• Familiarity with OCIP and Certified Payroll Portals.
• Proficiency in Autodesk, DocuSign, Concur, Ceridian, AIA software and NetSuite.
• Notary certification – nice
Essential Functions & Key Responsibilities
• Support the Project Team with all administrative tasks for Construction, RF Shielding, and
Radiation Shielding projects from contract initiation to closure.
• Handle monthly billing, including store material billing.
• Process monthly Certified / OCIP Payroll and weekly Field Payroll.
• Assist with accounts payable invoicing through Concur.
• Prepare AIA Subcontracts for Subcontractors & Jobs.
• Manage payment and performance bond requests.
• Assist Finance with the yearly audit.
• Coordinate with Willis Insurance requests.
• Perform month-end reconciliation.
• Assist with new job startups.
• Coordinate DocuSign for signatures.
• Generate AP selections reports for Finance.
• Handle accounts receivable collections.
• SAP Concur Invoice Processing.
