Front Desk Coordinator

  • Pay: $20-24/hr, depending on experience
  • Hours: Monday – Friday, 8 hour days between 7:00am-5:30pm (varies per day)
  • Location: Waltham, MA

Position Summary

  • Greets patients as they arrive for scheduled appointments
  • Provides new patients appropriate paperwork for required signatures (if they have not been pre-registered).
  • Verifies demographic and insurance information for new and established patients, according to protocol; makes a copy of each patient’s insurance card, front and back and also their license.
  • Collects patients’ co-payment and any previous balances that are due. Manages Self-pay client accounts.
  • Checks for insurance referral and has patient sign waiver if referral has not been obtained.
  • Explains financial and collection policies to new patients—provides written guidelines to each patient.
  • Ensures all patient paperwork is complete before patient is seen—puts the chart up for the clinical staff.
  • Informs patients in the reception area when the physicians are running behind—offers to reschedule them.
  • Summarized other duties include printing, cleaning, answering phones, collecting and relaying information to appropriate areas in the practice.

  • The essential functions include, but are not limited to the following:
  • Operate telephone switchboard to answer, screen, or forward calls, providing information, or taking messages.
  • Schedule appointments and maintain and update appointment calendars.
  • Receive payment and record receipts for services.
  • Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.
  • Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
  • Hear and resolve complaints from customers or the public.
  • File and maintain records.
  • Transmit information or documents to customers, using email, mail, or fax.
  • Schedule appointments and maintain and update appointment calendars.
  • Analyze data to determine answers to questions from customers or members of the public.
  • Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.
  • Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
  • Experience typically gained with an Associate’s Degree (or other 2-year degree) and 1 year of relevant work experience.
  • Active Learning- Understanding the implications of new information for both current and future problem-solving and decision-making.
  • Active Listening- Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Critical Thinking- Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
