Front Desk Coordinator

Pay: $23-25/hour

Schedule: Monday through Friday 7:30AM – 4:00PM

Requirements: 

  • 2+ years of Medical Admin / Medical Receptionist experience
  • Dermatology experience is highly preferred
  • Bright & polished professional
  • Experience with NextGen/EMA
  • Positive, welcoming, and can-do attitude with patients and team members
  • Experience working in a high-volume / high-intensity customer service industry
  • Ability to identify and manage multiple prioritize at once
  • Detail-oriented and collaborator
  • Computer proficiency

Responsibilities:

  • Provide exceptional patient care in accordance with this position
  • Greet patients with a smile in a professional and engaging manner upon arrival, check them in and obtain insurance information and any other necessary data
  • Schedule appointments as needed in accordance with provider schedule
  • Scan, update, and file medical records
  • Inform necessary office personnel including patient manager / MD of patient arrival, wait times, patient flow, and communicate with patients accordingly
  • Perform registration procedures (check-in process) including but not limited to entering/correcting/updating patient demographics by collecting detailed patient information including personal and financial information and updating the account in the system in a timely and accurate manner
  • Process medical insurance information, verify patient eligibility, and address any patient questions about insurance (consult billing department as appropriate)
  • Perform insurance authorizations as needed for all services as needed
  • Perform check-out as needed and update the patient’s chart with charges and collection of all out-of-pocket expenses
  • Provide patients with guidance regarding treatment costs and payment options
  • Schedule follow-up appointments as needed
  • Answer phone calls in a prompt and polite manner
  • Direct calls to appropriate office members as needed
  • Respond to any voicemail messages as needed
  • Verify patient insurance information
  • Assist patients with completion of paperwork when necessary
  • Schedule appointments as needed in accordance with provide schedule, this includes all services provided within the practice as well as Mohs and leg vein procedures
  • Provide coverage for each area as needed for planned/unplanned PTO
  • Knowledge and adherence for financial and administrative policies and procedures
  • Follow office rules and regulations when it comes to visiting pharmaceutical representatives
  • Maintain a safe, secure, and healthy workplace environment by following standards and procedures
  • Comply with legal regulation
  • Provide outstanding customer service to every patient
  • Maintain a professional and courteous demeanor
  • Assist other practice team members as needed
  • Attend all in-house training and continued education opportunities
  • Perform other duties as assigned by management team and/or physicians as needed
