Hiring for an HR Assistant in Boston, MA for a 3-6 month project.
Location: Massachusetts Ave in Boston MA (no parking available)
Schedule: 35HPW; Monday through Friday 9am-5pm
Pay: $25/hour
Key Responsibilities
Personnel File Digitization & Records Management
Review, organize, and prepare employee personnel files for scanning and electronic storage.
Scan, index, and upload documents into the organization’s electronic document management system in accordance with established naming conventions and compliance standards.
Conduct quality assurance reviews to ensure completeness, accuracy, and proper categorization of digitized records.
Identify missing or outdated documentation and coordinate follow-up as needed.
Ensure all physical and electronic files are maintained in compliance with federal, state, and organizational record retention policies
Assist with periodic personnel file audits.
Properly archive and/or dispose of physical records in accordance with retention guidelines.
Process Documentation & SOP Development
Develop and update Standard Operating Procedures (SOPs) related to personnel file management, digitization processes, and HR administrative workflows.
Ensure SOPs align with organizational policies, compliance requirements, and operational best practices.
Review existing processes and recommend improvements to enhance efficiency and consistency.
Maintain documentation of HR workflows and internal controls.
HR Systems & Administrative Support
Assist with data entry and record updates in ADP and SharePoint.
Support onboarding documentation and employee file creation
Assist with annual compliance tracking and documentation, including flu vaccination and residency verifications.
Provide general administrative support to the HR team and assist with special projects as assigned.
Qualifications:
High School Diploma/GED preferred
2+ years administrative experience, prior HR experience a plus
Proficiency in MS Office and experience with HRIS software
Excellent written and verbal communication skills
