Role Summary
We’re hiring an Office Manager to run the core engine of our business and support company leadership. In this key role, you’ll work closely with ownership to manage financial operations, improve internal systems, and create clarity across the team. You will run the office administratively, oversee accounts payable and receivable, coordinate property and client onboarding, and manage communication between in-house and outsourced teams.
This position blends high-level coordination with detail-oriented follow-through — ensuring smooth daily operations, accurate reporting, and proactive task management. It’s ideal for someone who thrives in a small, fast-moving environment, loves systems, embraces technology, and enjoys building and improving processes.

Core Responsibilities / What You’ll Do
Finance & Reporting

  • Oversee outsourced accounting teams and manage accounts payable and receivable cycles.
  • Review and approve invoices, audit payment workflows for accuracy and compliance, and manage recurring vendor payments.
  • Track revenue entries, ensure timely rent and client collections, and support accurate revenue recognition for construction projects.
  • Manage routine lender and banking interactions, including report requests, insurance documents, opening accounts, performing deposits and gathering signatures.
  • Oversee and approve bank reconciliations for accuracy and timely completion.
  • Oversee the accounting team to audit and validate key financial entries, such as P&Ls, tax bills, general ledger transactions, and mortgage payments.
  • Ensure insurance property and company policies are current, manage renewals and new policy bids, oversee claims, and coordinate documentation for vendor general liability and workers’ compensation coverage.
  • Manage payroll coordination including tracking PTO, sick leave, and flex time to maintain accurate staff records.

Office Operations

  • Own and execute onboarding processes for new properties, by working with team members and vendors, ensuring seamless integration into operational platforms.
  • Coordinate across departments, vendors, virtual assistants, and outsourced bookkeeping to ensure smooth, efficient workflows.
  • Process and standardize SOP development; document workflows using tools like Loom and maintaining an organized SOP library.
  • Manage company and property compliance with states and towns such as LLC compliance, audits, city and state registrations (e.g., City of Boston Real Estate Registration, town filings, annual reports).
  • Liaise with tech support and staff to execute software/system new implementation or issues.
  • Handle routine office support including mail processing, auto-related matters, office supplies, and other administrative tasks.

You’re a Fit If You…

  • Have 5–10+ years in operations, office management, bookkeeping role or general management roles
  • Thrive in small teams and want ownership over systems and outcomes
  • Are organized, tech-savvy, and obsessed with getting things done right the first time
  • Have solid understanding of bookkeeping, AP/AR, and financial oversight (not CPA-level — but you’re comfortable with numbers)
  • Are comfortable working with remote team members
