Office/AR Assistant

Job Summary:
We are seeking a detail-oriented and proactive Office Assistant with Accounts Receivable (AR) responsibilities to join our team. This dual-role position combines general office administrative support with a focus on the accurate and timely management of the company’s accounts receivable processes. The ideal candidate will be organized, efficient, and capable of multitasking in a fast-paced environment.


Key Responsibilities:
Administrative Duties:

  • Answer and direct phone calls and emails in a professional manner
  • Greet visitors and handle front-desk duties
  • Organize and maintain office files, records, and supplies
  • Schedule meetings, appointments, and maintain calendars
  • Assist with data entry, filing, scanning, and other clerical tasks as needed
  • Support other departments with administrative tasks

Accounts Receivable Responsibilities:

  • Generate and send customer invoices in a timely manner
  • Record and apply incoming payments accurately in accounting software
  • Follow up on overdue accounts via phone, email, or written communication
  • Maintain accurate records of accounts receivable transactions
  • Reconcile AR ledger to ensure all payments are accounted for and properly posted
  • Assist with month-end closing and reporting for AR
  • Respond to customer inquiries regarding invoices and payments
  • Collaborate with the accounting team to resolve billing discrepancies

Qualifications:

  • High school diploma or equivalent; associate degree or higher preferred
  • 1-3 years of experience in an administrative or AR-related role
  • Basic understanding of accounting principles and AR processes
  • Proficiency with Microsoft Office (Excel, Word, Outlook)
  • Experience with accounting software (e.g., QuickBooks, Sage, NetSuite, etc.) is a plus
  • Strong attention to detail and organizational skills
  • Excellent verbal and written communication skills
  • Ability to handle sensitive information with confidentiality
  • Comfortable working independently and as part of a team

Work Environment:

  • Office-based position with standard business hours
  • Occasional lifting of office supplies or packages (up to 20 lbs) may be required
  • Must be able to sit for extended periods and work at a computer
