Job Summary:
We are seeking a detail-oriented and proactive Office Assistant with Accounts Receivable (AR) responsibilities to join our team. This dual-role position combines general office administrative support with a focus on the accurate and timely management of the company’s accounts receivable processes. The ideal candidate will be organized, efficient, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
Administrative Duties:
- Answer and direct phone calls and emails in a professional manner
- Greet visitors and handle front-desk duties
- Organize and maintain office files, records, and supplies
- Schedule meetings, appointments, and maintain calendars
- Assist with data entry, filing, scanning, and other clerical tasks as needed
- Support other departments with administrative tasks
Accounts Receivable Responsibilities:
- Generate and send customer invoices in a timely manner
- Record and apply incoming payments accurately in accounting software
- Follow up on overdue accounts via phone, email, or written communication
- Maintain accurate records of accounts receivable transactions
- Reconcile AR ledger to ensure all payments are accounted for and properly posted
- Assist with month-end closing and reporting for AR
- Respond to customer inquiries regarding invoices and payments
- Collaborate with the accounting team to resolve billing discrepancies
Qualifications:
- High school diploma or equivalent; associate degree or higher preferred
- 1-3 years of experience in an administrative or AR-related role
- Basic understanding of accounting principles and AR processes
- Proficiency with Microsoft Office (Excel, Word, Outlook)
- Experience with accounting software (e.g., QuickBooks, Sage, NetSuite, etc.) is a plus
- Strong attention to detail and organizational skills
- Excellent verbal and written communication skills
- Ability to handle sensitive information with confidentiality
- Comfortable working independently and as part of a team
Work Environment:
- Office-based position with standard business hours
- Occasional lifting of office supplies or packages (up to 20 lbs) may be required
- Must be able to sit for extended periods and work at a computer
