Payroll and Equity Manager

RESPONSIBILITIES
Payroll Processing:

  • Process bi-weekly payroll for employees using ADP Workforce Now and Oracle time keeping software. Review timesheets for accuracy and policy compliance.
  • Enter new hires, terminations and employee changes into the ADP payroll system. Input and audit payroll transactions, employee tax information; reconcile employee data and deduction changes.
  • Calculate and prepare bi-weekly payroll reports using both ADP Workforce Now.  Prepare ad-hoc reports for business units, human resources and accounting needs.
  • Assist employees on all payroll and tax related issues.  Participate in providing direction and information to employees regarding system, reporting and policy changes.
  • Process wage verifications for external agencies and garnishment requests.
  • Ensure compliance with federal, state and local laws and regulations as well as company policies and procedures.  Review payroll and tax changes and provide recommendations to management to ensure company compliance.
  • Oversee payroll for all locations domestically and internationally
  • Set up state jurisdictions when necessary
  • Implementing process improvement
  • Manage 401k uploads and deduction audits

Stock Compensation processing:

  • Maintain employee accounts within Equity Edge including adding new accounts or completing terminations as needed
  • Ensuring proper tax jurisdictions and accounting coding inputs within Equity Edge remains consistent with payroll system
  • Upload year to date taxes as needed
  • Monitor weekly for employee elected changes to ESPP program to be recorded in payroll
  • Oversee semi-annual ESPP open enrollment window as well as ESPP purchases
  • Process new employee awards and releases as they occur
  • Ensure proper reporting with stock transfer agent in accordance with all Equity Edge activity
  • Prepare annual Form 3921/3922 submissions
  • Assist employees on all stock compensation related issues
  • Support accounting with various reporting needs as required
  • Prepare documentation in accordance with Company’s internal SOX controls as well as support requests related to both internal and external audit testing around stock compensation activity

Audits and Controls

  • Maintain payroll and time keeping controls in compliance with Sarbanes Oxley 404.
  • Prepare and coordinate information and requests for internal and external audits including:
  • 401k audit for completion of Form 5500
  • Worker’s compensation audit and compliance
  • Internal payroll and time keeping audit
  • External audits and reviews
  • Other duties as assigned

REQUIREMENTS

  • Associate’s degree or higher in a related field, such as finance, accounting or payroll administration, strongly preferred.
  • Previous experience using ADP Workforce Now is required.
  • Must be an accurate, detail-oriented problem-solver that has the ability to meet deadlines in a fast-paced environment with the ability to handle confidential data. Must be able to work independently.
  • This position requires a basic knowledge of the following: W-2’s, external audits, benefits (including Employee Stock Plans), 3rd party sick pay, taxable fringe benefits, and HRIS link to payroll.
  • The position requires a highly conscientious individual with a high energy and maturity level and the ability to handle information in a sensitive, confidential and professional manner is essential.
  • Possesses the appropriate level of technical/functional expertise and knowledge. Utilizes technology-based tools and processes effectively.
  • Previous experience in stock administration is required, with experience in Equity Edge a plus.
  • Previous experience in Oracle a plus.
