Payroll Specialist

Primary Duties
Payroll Processing

  • Execute timely and precise semi-monthly payroll for employees in the U.S. and Canada
  • Apply best practices in payroll administration
  • Ensure adherence to federal, state, and local payroll laws across various regions
  • Oversee deductions for benefits, wage garnishments, and taxes
  • Manage 401k plan contributions, deductions, and funding
  • Maintain accurate payroll records and respond to employee questions
  • Coordinate with an international payroll provider for global employees

Regulatory Compliance

  • Understand payroll tax requirements at federal, state, and local levels
  • Handle preparation and submission of tax documents, including 941s, W-2s, and 1099s
  • Liaise with tax authorities in multiple states
  • Verify compliance and accuracy for 401k plan data
  • Keep abreast of updates to relevant laws and regulations

Audits and Reporting

  • Perform internal payroll data audits to ensure precision
  • Create reports for management, accounting teams, and external audits
  • Propose and implement enhancements to payroll and accounting workflows
  • Document accounting procedures and internal controls thoroughly

Team Collaboration

  • Work with HR and other teams to streamline payroll and compliance operations
  • Assist employees with inquiries about pay, taxes, and benefits

Accounting Support

  • Support month-end closing tasks, such as journal entries and account reconciliations
  • Produce accurate financial reports on schedule
  • Provide documentation for internal and external audits
  • Assist with special projects and financial analysis as required

Qualifications and Experience

  • At least 3 years of accounting experience, ideally with payroll and compliance focus
  • Expertise in payroll systems (e.g., Paycor, ADP, or equivalent)
  • In-depth knowledge of payroll tax regulations
  • Experience with HRIS platforms (e.g., ADP, Bamboo, or similar)
  • Solid understanding of U.S. GAAP
  • Proficiency in accounting tools (e.g., NetSuite, QuickBooks, or comparable software)
  • Advanced skills in Microsoft Excel

Education

  • Bachelor’s degree in Accounting or equivalent professional experience
