Receptionist / AP Clerk

Main responsibilities include:

  • Answer multi-line phone system for individual offices, and direct calls to appropriate individuals
  • Greet clients upon arrival
  • Distribute incoming mail, sign for incoming packages, process all outgoing mail (postage stamp meter) including some courier mail
  • Monitoring the reception desk and managing the schedule for conference room.
  • Responsible for key distribution to tenants (office, suite & building keys) and any maintenance crews, careful maintenance of building key log
  • Oversee aspects of building maintenance, inspections & general office suite maintenance.
  • Responsible for ordering office and kitchen supplies
  • Process and record vendor invoices for multiple companies
  • Prepare vendor payments for processing
  • Maintain and update vendor names and data
  • Collect vendors W-9 information
  • Assist Accounting Manager with periodic projects
  • Accounting task may increase for right candidate
  • Job Requirements for Receptionist/Accounts Payable Clerk:
  • 1+ year of experience in a professional office setting
  • Experience in accounts payable processes
  • Proficiency in MS Word and Outlook
  • Working knowledge of QuickBooks would be a preferred but not required
  • Ability to maintain confidentiality and a strong work ethic
  • Professional communication, friendly and engaging interpersonal skills
