Role: Referral Coordinator 
Pay rate: $19-22/hour 
Schedule: Monday – Friday, 8:30am-5pm, 30 min lunch
Interview: On site
Location: Ft. Pierce, FL 34950

Qualifications and Requirements:

  • High School diploma or GED required, college degree preferred.
  • Must be cross-trained in electronic medical records, scheduling software and Microsoft Outlook.
  • Athena experience is a plus
  • Bilingual: Spanish/Creole is a plus
  • Minimum 1 year in a healthcare environment

Responsibilities:

  • Demonstrate professionalism and maintain a respectful, positive attitude when interacting with patients, visitors, and colleagues.
  • Coordinate and schedule diagnostic tests and specialty appointments as requested, ensuring all actions are accurately documented in the patient’s chart.
  • Track referrals consistently and maintain thorough documentation to support team communication and promote patient safety.
  • Verify and complete accurate patient registration, including demographic details and current insurance information.
  • Gather and organize relevant clinical background and referral information; provide appropriate clinical documentation to specialists in accordance with referral guidelines.
  • Manage the prior authorization process for diagnostic tests and specialty services.
  • Communicate with insurance providers to confirm authorization requirements, submitting necessary clinical details such as medical history, diagnosis, and prognosis. Collaborate with financial services to support optimal reimbursement for the hospital and/or providers.
  • Review referral details, processes, and expectations with patients to ensure understanding.
  • Serve as a primary point of contact and system navigator for patients and families, addressing questions and concerns and advocating with insurance carriers to secure timely approval of required services and supplies.
  • Ensure referrals are processed and completed within established timeframes.
  • Provide appointment reminders to patients via phone or mail.
  • Monitor referral outcomes and follow up to confirm patients attend scheduled appointments.
  • Request and track medical records and reports to ensure timely receipt.
  • Maintain up-to-date patient records, including specialist consultations, hospital admissions, emergency room visits, and involvement with community health organizations.
  • Document all patient interactions and updates accurately within the electronic health record (EHR).
  • Participate in relevant educational and professional development opportunities.
  • Perform additional duties and responsibilities as assigned.
  • Travel between locations as needed to provide coverage.
