Sales Support Administrator

Objective:
Provide administrative support to sales managers with quotes and projects, ensuring smooth operations within the department and company.

Key Responsibilities:

  1. Quote Creation: Generate and manage quotes to support sales managers.
  2. Spreadsheet Management: Maintain statistical spreadsheets (e.g., orders, stock, quote analysis) and export sales documentation from SAP.
  3. Order Management: Expedite orders by creating new projects, generating purchase orders, and ensuring invoicing accuracy. Approve contracts and invoices from EA and outside vendors.
  4. Cost Tracking: Create and update cost calculation sheets and track change orders for projects.
  5. Project Documentation: Maintain spreadsheets and track project milestones and technical documents.
  6. Customer Management: Create and update customer records, including location changes. Provide support to colleagues.
  7. Invoicing: Generate invoices per project billing schedules.
  8. Document Management: Manage offers, layouts, and drawings.
  9. Tool Utilization: Leverage tools and databases for quoting new projects.
  10. AR Support: Assist Accounts Receivable with collections as needed.

Requirements:

  • Education: Technical training or high school commercial/shop courses, or 6-12 months of related experience.
  • Skills: Proficiency in Microsoft Office; SAP knowledge is a plus.
  • Experience: 2-3 years of relevant experience.
  • Analytical Ability: Strong problem-solving skills for complex administrative and technical issues.
