ROLE: SENIOR ADMIN ASSISTANT
ANNUAL: $80-90K
LOCATION: Metro-West – IN OFFICE
Senior EA/Administrative Assistant
Key Responsibilities:
Administrative Support
- Provide direct administrative support to senior executives, including calendar management, scheduling, and correspondence.
- Prepare, edit, and format documents, presentations, and reports.
- Organize domestic and international travel arrangements, accommodations, and itineraries.
- Assist with meeting preparation, including agendas, minutes, and follow-ups.
- Coordinate logistics for board meetings, kickoff meetings, executive-level meetings, large in-office events, and other business/personal gatherings.
Office Management
- Oversee general office operations and supplies, ensuring the office environment is well-maintained and functional.
Project Coordination
- Support ongoing projects by coordinating tasks, tracking timelines, and ensuring deadlines are met.
- Collaborate with cross-functional teams to assist in project documentation, logistics, and follow-through.
- Compile data and conduct research to support project planning and decision-making.
Communication and Relationship Management
- Handle and prioritize incoming communication, including calls, emails, and messages.
- Serve as a liaison between senior management, team members, and external partners, ensuring efficient communication and alignment on key initiatives.
- Assist with development of internal newsletters.
- Maintain a professional and positive relationship with clients, vendors, and staff.
Data Management and Filing
- Maintain and organize digital and physical filing systems for easy access and retrieval.
- Ensure confidentiality and security of sensitive documents and data.
- Perform data entry, tracking, and reporting tasks as required.
Qualifications:
Education: Certification or Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
Experience: 3+ years of experience in a senior administrative or executive assistant role.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Concur, familiarity with project management tools.
Communication Skills: Excellent written and verbal communication skills; able to handle sensitive information with professionalism and discretion.
Organizational Skills: Strong multitasking, time management, and organizational abilities.
Problem-Solving Skills: Ability to think critically and provide solutions to potential challenges.
Preferred Qualities:
Strong interpersonal skills, able to collaborate effectively with team members and executives.
Ability to work independently, take initiative, and prioritize tasks in a fast-paced environment.
