Hiring for a Surgical Scheduler/Admin for a healthcare clinic in Boston, MA

Fully ON-SITE role!

MUST have surgical practice and surgical scheduling experience!

Schedule: Monday-Friday 8:00AM-4:30PM
Pay: $28/hr

  • Surgical scheduling is a big part of the admin role so it is important to have experience with scheduling surgical cases, coordinating preop and postop requirements, requesting insurance authorizations, and coordinating appeals for denials. 
  • The admin position is very phone centric, there is limited face to face interaction with patients. So being comfortable on the phone, managing a high volume of incoming phones calls, and to have interpersonal skills to be able to effectively communicate over the phone or system is necessary. Patient care is very important to us and the providers.
  • A high degree of organizational skills are needed to be successful in the role. Admins are expected to schedule appointments across multiple locations, coordinate radiology orders and scheduling, be the liaison between patients and providers for clinical questions, and coordinate paperwork completion and scanning.
  • Office environment:
  • Not in a clinic – these are administrative offices
  • Looking for:
  • Great communication skills – need to make sure you are answering calls/messages in the system and relaying them to the providers asap.  Requirements
    • Admin experience required: faxing, mail, scanning, copying, etc
    • Medical office experience required
    • Surgical Scheduling experience required! 
    • EPIC preferred
    • Prior phone experience

    Duties & Responsibilities:

    • Will be supporting one physician with their administrative tasks: answering phones, scheduling surgeries, follow up appointments, etc.
    • Perform duties under moderate supervision with intermediate to advanced proficiency in administrative skills.
    • Provide routine and more complex administrative support such as: typing memos and letters, answering telephones, and taking and distributing messages.
    • Coordinate calendar and schedules including: coordinate calendars for several managers or coordinates events for department.
    • Proofread and edit manuscripts, perform library or literature searches, and help to create and edit presentation materials. Work with less direction with ability to create more advanced material.
    • Helps to prepare and edit grant applications and other related materials with less direction and more applicable knowledge of the process.
    • Perform transcription of dictated physician notes.
    • Assist with training and orienting staff as needed.
    • Provide cross coverage as needed.
    • Assist with special projects as directed.
    • Follow HIPAA guidelines for the management of patient privacy and confidentiality.
