Position Summary
With a customer service orientation, Therapy Office Receptionist is a member of the therapy office support team working under the supervision of the Therapy Director. As a Therapy Office Receptionist, greeting patients with a welcoming demeanor, answering phones, checking patients in and out of the office, scheduling appointments, assisting with billing and insurance, and maintaining accurate medical records are all important aspects of the position.

Location: Clark, NJ office
*potential to travel to Union office if needed
Pay: starting $18 – $23/hr ($37,440 – $47,840)
Schedule:

  • Monday, Wednesday, and Friday 7am – 3pm
  • Tuesday and Thursday 10am – 6pm

Requirements:
Critical Skills & Attributes

  • Academic/Technical Qualifications- HS diploma or GED equivalent
  • College education /Bachelor’s strongly preferred
  • Computer literate, basic knowledge of computers
  • Minimum of 1 years’ experience working with WC/PIP Auto Cases
  • Good analytical skills and an affinity for detail
  • Knowledge of HIPPA & OSHA guidelines
  • Working knowledge of medical practice management systems and electronic medical records
  • Medical terminology 
Industry Experience

  • Prior/pre authorization for therapy services – required to have experience in either PT or Chiro office to qualify
  • Will need to ask appropriate questions to schedule modality checks, massage, electric stimulation, etc. 
  • Minimum of 1 years’ experience in a physician group practice
  • Knowledge of HIPPA & OSHA guidelines
  • Working knowledge of medical practice management systems and electronic medical records
  • Basic knowledge of computers and medical terminology is mandatory
  • Communication Skills- Excellent verbal, written, and interpersonal skills
  • Bilingual Spanish highly preferred
  • Ability to work well with Physicians, employees, patients, and others
  • A committed and result-driven attitude to work as a high ethical and professional standard 
  • Unquestionable commitment to confidentiality, quality customer service and professionalism 

Key Responsibilities:

  • Check in and check out patients for their appointments
  • Check voicemails and return phone calls for patients, providers, etc.
  • Answer phones calls
  • Make follow up appointments for internal and external patients
  • Verify patient benefits for physical therapy; ensure the EHR/PM systems are updated and request authorization for physical therapy as needed
  • Check fax (Provider Flow) and respond to all faxes
  • Call and confirm patients’ appointments for the following days and pull out all corresponding charts
  • Scan patients’ information (benefits, scripts and medical history) from ModMed to TheraOffice
  • Ensure PT orders are sent to TheraOffice and that all the information transferred through correctly
  • Ensure that patient notes are linked to patient chart and order in the PM system (ModMed)
  • Assist with any translation between the therapist and the patient as needed
  • Collect and post patient co-pays, deductibles and/or balance as required
Shared Duties/Other:
  • Ensures that all faxes are cleared off the machine (or routed in the system) and distributed throughout the day
  • Sorts incoming reports and directs to appropriate person if not addressed properly
  • Maintains detailed knowledge of practice management and other computer software as it relates to job functions
  • Maintains and respect the confidentiality of patient information in accordance with company policy & procedure, and HIPAA & compliance guidelines
  • Attends regular staff meetings and continuing education sessions as requested
  • Presents professional image in manner, appearance, motivation and work habits
  • Regular attendance is required
  • Performs other duties as assigned
